OMNI HRM has been retained by Kansas City University of Medicine and Biosciences (KCU) in the selection of an Executive Assistant to the Provost. KCU is a community of professionals committed to excellence in the education of highly qualified students in osteopathic medicine, the biosciences, bioethics and the health professions.
Reporting to the Provost/Executive Vice President for Academic & Research Affairs, the Executive Assistant role is responsible for effectively promoting and supporting the mission of KCU by providing expert administrative and project management support to the Office of the Provost.
Safeguards confidentiality by exercising discretion in communicating information to faculty, students, staff and the public served by the Office of the Provost and University and in handling administrative records, files, and similar confidential items.
Coordinates the flow of communication by receiving, routing, and/or responding to incoming communications and determining the appropriate audience, department, or agency for outgoing communications.
Assists in oversight functions by reviewing, monitoring, and approving correspondence and documents prepared by the Provost and other departments within the Office.
May serve as event coordinator for various functions of the Office or University.
Facilitates efficient and cost-effective official travel by making travel arrangements and preparing associated expense reports for travelers.
Provides information for and prepares reports and records through research, data retrieval, compiling and/or tabulating statistics, analysis and presenting the information in useable and understandable formats.
Drafts and prepares correspondence for distribution or approval and signature, checking the documents for completeness and accuracy.
Completes special projects by organizing and coordinating information, requirements and stakeholders; planning and arranging details and monitoring results.
Assesses situations to determine the importance, urgency and risks, and makes clear decisions which are timely and in the best interests of the University.
Assesses problem situations to identify causes, gathers and processes relevant information, generates possible solutions, and makes recommendations and/or resolves the problem.
Represents the Office and the University favorably and in accordance with established Core Values and expectations.
