OMNI is honored to be retained by the Kauffman Foundation in their search for a Senior Program Associate – Operational Effectiveness. This position ensures day-to-day grantmaking and team practices that enhance quality, consistency and learning across grants, agreements, programs, and entrepreneurship-focused initiatives. Reporting to the Senior Director of Entrepreneurship, the Senior Program Associate – Operational Effectiveness responsibilities include program coordination, project management, analysis, and supervision of other administrative team members and functions to drive positive change in grant-making, programming, the community, and the overall entrepreneurship strategy.

Responsibilities

  • Lead, manage and coordinate a team of program associates by providing clear communication about deliverables.
  • Oversee and complete daily processes related to grants and budget management, data, reporting, and compliance.
  • Ensure timely, effective communication with potential applicants to answer questions and determine grant eligibility. Facilitate grantee use of the grants management system for applications, grant agreements, progress reports, evaluation, and learnings.
  • Monitor grant payments and reporting schedules.
  • Track and analyze department key performance indicators, progress toward budget and grant performance goals, and other annual programmatic priorities.
  • Ensure complete and accurate documentation, reports, presentations, and dashboards to support tracking and communication of team priorities and goals.
  • Inform program officers of gaps, risks, conflicts, and recommend opportunities and solutions for improvement.
  • Develop and update workflows and project plans to help drive coordination and efficiency across the team.
  • Plan, coordinate and oversee engagements, initiatives, and programs, including organizing events, materials, or activities. Assist with travel, including agreements, payments, and event coordination.
  • Complete tasks in compliance with all company and departmental policies, procedures, and legal requirements.
  • Support the team‘s establishment of grant and program values and an environment that promotes growth while maintaining a culture of accountability and continuous improvement.
  • Serve on relevant internal committees and workgroups, and represent the Foundation and team at local, regional, and national meetings, conferences, and events.
  • Support the team in taking a racial equity, diversity, and inclusion (REDI) lens to operations and programs, including partnering with teammates and other team members across the Foundation.

Qualifications

  • Bachelor's degree preferred or equivalent combination of education and/or experience.
  • 5+ years of increasing responsibility in administrative, program or business support positions with at least 2 years supervisory experience. 
  • Highly motivated attitude with capability to self-directed work, be detail-oriented, and able to work collaboratively across teams and departments.
  • Exhibit a keen sense of responsibility and enjoy working with multiple demands, shifting priorities, and constant change.
  • Excellent written and verbal communication skills with clear expectations.
  • Strong critical thinking skills with the ability to analyze and view situations or problems from multiple different perspectives.
  • Maintain confidentiality and easily handle confidential material appropriately.

  • Strong computer literacy skills, including word processing, spreadsheets, and presentation applications.
  • Ability for occasional business travel as needed.
