Overview

Kids TLC

The Director of Intake & Admissions is responsible for overseeing and directing the Referral, Admission, and Utilization Review Teams, with a strong emphasis on excellent customer service. This role plays a key part in maintaining optimal program census and ensuring the accuracy of financial information to support long-term financial sustainability.

Responsibilities

The following duties are typical for this position. They are not to be construed as exclusive or allinclusive. Additional duties may be assigned.

  • Oversee referral, intake, and admission operations for PRTF, OBH, and IOP programs.
  • Coordinate with departments regarding upcoming discharges and admissions.
  • Manage credentialing processes and participate in contract negotiations with managed care providers and private insurance carriers.
  • Collaborate regularly with clinical leadership to ensure optimal census in designated programs.
  • Prepare and review all admission paperwork for regulatory compliance.
  • Confirm viable funding sources for all clients.
  • Manage PRTF client medical records, including organization, storage, secure destruction, and fulfillment of records requests.
  • Support compliance with COA, DCF, KDADS, KDOC, KMAP, and Medicaid MCO standards, particularly in the intake and referral process.
  • Communicate significant issues to Senior Management in a timely and professional manner.
  • Represent the agency professionally at various community meetings.

Supervisory Responsibilities

  • Direct supervision of the Intake and Admissions staff for PRTF.
  • Provide support and co-supervision for IOP, Lotus Clinics, and other areas as assigned.

Qualifications

Education and Experience

  • Bachelor’s degree preferred, especially in social work, psychology, or a related behavioral health field.
  • 3–5 years of management experience in customer service, medical records, and utilization review—preferably in a behavioral health setting.
  • Experience working with families, accessing behavioral health services, and navigating systems such as Kansas Medicaid, DCF, etc.
  • Knowledge of referral, intake, and admission processes, including KanCare, KDADS, DCF, and MCO regulations relevant to KidsTLC programs.

Language Ability

  • Excellent verbal, written, and interpersonal communication skills.
  • Ability to communicate with diverse internal and external stakeholders.
  • Proficient in reading and interpreting insurance forms, contracts, and clinical documentation.

Mathematical Skills

  • Ability to perform basic math: add, subtract, multiply, and divide in all units of measure using whole numbers, fractions, and decimals.

Cognitive Demands

  • Strong problem-solving, judgment, and decision-making skills.
  • Ability to build trust and respect with clients, staff, and partners.
  • Must be self-directed and able to collaborate effectively.
  • Confident and professional when managing crisis or conflict situations.

Computer Skills

  • Proficiency in Microsoft Office (Outlook, Word, Excel).
  • Familiarity with industry-specific software and web-based systems.

Physical Demands

  • Regularly required to sit, stand, walk, talk, and hear.
  • Occasionally required to lift/move up to 25 pounds.
  • Must have adequate vision to perform computer-related tasks.
  • May be required to respond physically in situations involving agitated youth or guardians.

  • Standard office environment.
  • Fast-paced setting with moderate to high noise levels.
